Client Overview
Hoopes Vision is a LASIK and vision correction practice based in Draper, Utah, serving patients with a high-volume clinical operation that spans multiple surgeons and years of outcomes data. Like many healthcare practices that grow over time, Hoopes Vision accumulated valuable operational and clinical performance data across spreadsheets—capturing patient counts, procedure details, surgeon activity, and other key metrics.
To support better decision-making and clearer performance visibility, Hoopes Vision needed a unified system that could transform years of spreadsheet data into consistent reporting and a modern dashboard experience.
The Challenge
As Hoopes Vision’s data volume and reporting needs grew, three challenges became persistent blockers:
-
Critical business data lived in scattered spreadsheets
Years of patient and surgeon performance data were stored across multiple spreadsheet files and formats. While the data existed, it wasn’t structured in a way that enabled quick reporting or consistent analysis. -
Reporting required manual work and was difficult to trust
Creating reports by year, month, or surgeon meant repeated manual filtering, copy/paste steps, and spreadsheet formulas. That process was time-consuming and introduced inconsistencies—making it hard to confidently compare trends across time periods or providers. -
No single source of truth for operational visibility
Because the data was not normalized, Hoopes Vision lacked a unifying view of performance across surgeons and timeframes. Leadership couldn’t easily answer common questions like: “How are we trending this quarter compared to last year?” or “Which surgeons are seeing changes in volume or outcomes over time?” without significant manual effort.
Our Solution
We partnered with Hoopes Vision to build a full-stack custom web application and a backend data-syncing pipeline that transforms spreadsheet data into a structured database—powering a reliable, filterable dashboard for ongoing reporting.
Full-Stack Dashboard Application
We designed and built a web-based analytics dashboard tailored to Hoopes Vision’s reporting workflows. The app provides a centralized place for leadership and operations teams to view metrics across years, months, and surgeons—without needing to assemble reports manually each time.
Spreadsheet-to-Database Data Sync Pipeline
We implemented a backend pipeline to intake the client’s existing spreadsheets, validate and clean the raw data, and convert it into structured records in a database. This pipeline created a repeatable process for turning legacy spreadsheet history into a consistent dataset that can evolve as new data is added.
Data Normalization and Structured Reporting
To enable cross-time and cross-surgeon analytics, we standardized fields and created a normalized data model that supports clean aggregations and comparisons. This included building structured definitions for time periods, surgeon identifiers, and core metrics—so dashboard reporting is consistent and reliable.
Reliable Delivery and Maintainable Architecture
We delivered the system with long-term maintainability in mind, ensuring the pipeline and dashboard could be extended over time as reporting needs change. This included clear separation between ingestion, transformation, and reporting layers—reducing risk when new spreadsheet formats or new reporting dimensions are introduced.
Results
-
A unified reporting view across years, months, and surgeons: Hoopes Vision can now filter and compare key metrics without manual spreadsheet work.
-
Reliable reporting built on structured data: spreadsheet history was transformed into a standardized database that acts as a single source of truth.
-
Time saved and fewer reporting errors: automation replaced repeated manual reporting tasks, reducing inconsistency and increasing trust in the numbers.
-
A scalable foundation for future analytics: the pipeline and dashboard architecture support ongoing data ingestion and future enhancements as the practice grows.
Conclusion
Hoopes Vision had years of valuable patient and surgeon data—but it was locked inside spreadsheets that made reporting slow, inconsistent, and difficult to scale. By building a full-stack dashboard application and a backend data-sync pipeline, we helped Hoopes Vision transform legacy spreadsheet data into structured, trustworthy reporting.
The result is a unified analytics system that gives leadership a clear, ongoing view of performance across surgeons and time periods—enabling faster decisions, better visibility, and a stronger operational foundation for growth.
